Substitute Clerical Personnel


Purpose Statement

The job of School Administrative Assistant provides support to school site administrators; conveys information regarding school functions and procedures; ensures compliance with site's financial, legal and administrative requirements; and supports the broad array of services provided to students, parents, instructional and support employees.


Essential Functions

  • Responds to inquiries from a variety of internal and external parties (e.g. staff, parents, students, public agencies, etc.) for the purpose of providing information, facilitating communication among parties and/or providing direction.
  • Prepares materials (e.g. reports, memos, letters, etc.) for the purposes of documenting activities, providing reference and/or conveying information.
  • Processes documents and materials for the purpose of disseminating information to appropriate parties.
  • Maintains documents, files and records for the purpose of providing up-to-date reference and audit trail for compliance.
  • Handles funds for the purpose of processing student fees, sale of products, etc.
  • Reconciles cash and/or account balances as assigned for the purpose of maintaining accurate balances and complying with accounting practices.
  • Supervises and monitors students referred for illness and/or disciplinary actions.
  • Supports assigned administrative personnel for the purpose of providing assistance with their administrative functions.
  • Oversees and trains student workers, volunteers, office staff, etc., for the purpose of ensuring appropriate class credit and/or meeting work requirements.
  • Administers first aid and medication to students under the direction of health professional for the purpose of meeting immediate health care needs.
  • Maintains inventories of supplies and materials for the purpose of ensuring items' availability.
  • Attends meetings as assigned for the purpose of conveying and/or gathering information required to perform functions.
  • Assists other personnel for the purpose of supporting them in the completion of their work activities.


Job Requirements: - Minimum Qualifications

Skills, Knowledge and Abilities

SKILLS are required to perform multiple tasks with some continuing to upgrade skills due to changing job conditions. Specific skills required to satisfactorily perform the functions of the job include the ability to speak clearly, pleasantly and courteously; type at a speed of not less than 40 wpm; understand and carry out oral and written directions; perform clerical work of average difficulty; compile and maintain accurate and complete records and reports; establish and maintain cooperative working relationships with co-workers, students, parents, members of the community and others contacted in the course of work.


KNOWLEDGE is required to perform basic math; read and interpret instructions; and understand written and oral

instructions. Specific knowledge required to satisfactorily perform the functions of the job includes knowledge of modern

office technology, practices and procedures; correct English usage, spelling, grammar and punctuation; standard office

equipment, computer operation.


ABILITY is required to schedule activities; gather, collate and/or classify data; and use job related equipment. Flexibility is

required to work with others; analyze data utilizing defined and similar processes; and operate equipment using standard

methods of operation. Ability is also required to work with a diversity of individuals; work with data of similar types and/or

purposes; and utilize job related equipment. In working with others, some problem solving is required to analyze issues,

create plans of action and reach solutions; with limited data and equipment.


Responsibility

Responsibilities include working under standardized instructions and/or routines; providing information and/or advising other persons; and operating within a defined budget and/or financial guidelines. Utilization of resources from other work units may be required to perform the job's functions. There is an opportunity to impact the organization's services.


Working Environment

The usual and customary methods of performing the job's functions requires the following physical demands: Some lifting, carrying, pushing and/or pulling; some climbing and balancing; some stooping, kneeling, crouching and/or crawling; significant reaching and handling. Generally the job requires 50% sitting, 20% walking and 30% standing. The job is performed under minimal temperature variations, a generally hazard free environment, and in a clean atmosphere.


Experience: Job related experience is required.

Education: High School Diploma or equivalent.

Certificates & Licenses: Typing certificate for 40 wpm.

Clearances: All clearances required to provide service in a public school district in the State of California.
