Description-
Job Summary/Objective:
This position is responsible for providing administrative support within the Bucks IU Samuel Everitt School. The Administrative Assistant duties and responsibilities in this center-based school program include supporting the overall functioning and daily operations of the school building. The Administrative Assistant is the first contact person for communication for all stakeholders such as parents, school district personnel, staff, supervisors, vendors, etc.
Essential Functions:
• Greets building visitors, announces visitors to building staff, directs individuals to appropriate meeting rooms
• Communicates necessary information concerning the Bucks IU programs, services, and staff to the public
• Ensures site visitor log-in processes are followed by visitors to the building
• Maintains the directory of building staff, Bucks IU administrators, and school district administrators displayed in the lobby
• Trains other personnel for purposes of alternative coverage of duties
• Assists with mailings and clerical activities
• Manages ongoing communications with stakeholders, budgetary information, scheduling, and program effectiveness measurements
• Maintains confidential student and staff records to ensure the continued success of the individual programs, including but not limited to staff performance observations evaluations, staff schedules/calendars, student IEP documents
• Generates and processes purchase orders and staff mileage reimbursement forms
• Participates in staff training to build capacity across the special education team
• Enters and ensures accuracy of data in Bucks IU software systems, including PennData, IEPWriter, AESOP, MyLearningPlan, and SharePoint
• Maintains active staff & student records; expunges inactive records
• Creates and prepares forms and reports for staff use
• Posts vacant positions in TalentEd software
• Processes paperwork for the hire, transfer, status change, and termination of staff
• Maintains inventory of staff equipment
• Assists with school operations and safety by monitoring building entrances/exits
• Communicates scheduled IEP Meetings to staff
• Facilitates monthly safety drills, monitors and accounts for staff and students within building, contacts community law enforcement in crisis situations

The employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
Education and Experience:
High school diploma or GED equivalent
Minimum three (3) years’ administrative experience.
Advanced computer competency in various databases, Microsoft Office, Microsoft SharePoint, and the ability to learn.
Ability to create, manage and edit spreadsheets and various reports.
Ability to work independently and within a team to accomplish goals and to problem solve.
Excellent organizational, interpersonal and time management skills.
Excellent oral and written communication skills.
